Key app features for end users In this video We will look at an example of a room display and show how the display changes when there is a status change We will show how to reserve a room and check-in Show how to extend or terminate a booking and get help We will also explain how to look at other rooms’ schedules and book these rooms This is an example of a display you would find outside your meeting room Here changing colours clearly indicate when the room is free to enter engaged or if a meeting is about to begin We can see that the colours on this display are green as the room is free to enter If we would like to book a last-minute meeting for this room we can use the 'Reserve' button we input our details it will show us how long we can book the room for and then we would tap 'Reserve' But we aren’t going to book this room for now as a meeting is starting soon You can see now that the display has changed to amber Door tablet supports check in, check out which is very important to ensure meeting rooms are not wasted showing as booked but nobody occupies them As this meeting is starting soon we can tap on 'Check in' A pop-up will appear that requires we confirm that this is our meeting tap 'Ok', then it will provide us with a check-in code This code is used to perform actions such as extending the meeting and releasing the room so you will want to make a note of this As an alternative, your company may have provided you with a personal pin code or RFID card which you would also use for these functions On the current display you can see there are symbols under the room name these show what facilities are in the room for example, a projector and a whiteboard This symbol on the bottom right shows the capacity of the room Once the meeting has started it will also show how many people are participating compared to the capacity For example if this room capacity is 10 and 4 people are participating it will show as 4/10 Now we have skipped ahead to the start time of the meeting so the room is now engaged We can see the display has changed to red If you are using our professional devices LED lights will also change according to room status From the meeting room display there is also a button called 'Help' If we tap on this it gives us a place to report any problems with the room for example, an issue with the lights or cleanliness of the room To receive help on the issues we may want to provide further details and type our phone number so the person receiving the message can easily engage with us If we want to extend our booking we tap on 'Extend' at the bottom of the display and choose the duration we would like to extend the meeting for We can also terminate a meeting by tapping on 'Release' However, this meeting has just started so a pop-up will tell us that it can not be terminated yet This is an anti-abuse feature so people can’t cancel your meeting and hijack the room This applies to meetings that were booked in advance via the scheduling system you are always able to cancel an ad-hoc meeting that you have created on the tablet For the last feature we can tap on the button at the bottom called ‘Nearby’ This shows us what is happening in other rooms in the vicinity Here we can make a reservation for a different room that will start right away by tapping 'Reserve a room' You can also change the area to see more rooms change the date to book rooms in the future or tap on the empty space in a room schedule to book that room If there is no activity for some time the meeting room will automatically display again Alternatively, we can tap on the button with the name of the room to go back to the room display Thank you for watching
