Using PIN codes In this video We will show how PIN codes are used for identification We will explain how to set up PIN Codes in the system profile Finally, we will show how to view a specific users’ PIN and generate a new PIN Using PINs with your tablets provides instant identification when performing actions such as booking a room This is something that can be set up for all your workspaces or just certain workspaces We will show how this works When we go to reserve this workspace we are prompted to provide a PIN If we already know our PIN, we can type this in and we will be identified If we can’t remember it, we can click on this button type our email address and have the PIN sent to our inbox If the user didn’t have a PIN allocated to begin with this will generate a new and unique PIN which will remain associated with that user moving forward Now we can go to our email inbox and find the PIN which we can of course do from our mobile while standing outside the workspace Back on the application we can now use the PIN to book a meeting Our email is displayed here so we have been identified using this PIN in this case we are booking an hour meeting for 4 people And when we click reserve we can see the details of the user has come through which can be seen in the description for the booking We will also receive an email confirmation for the booking Now we will show how to set up PIN codes in the web UI Go to the ‘System Profile’ In the 'Security' tab we scroll down to ‘PIN usage’ We tick ‘Use PINS when needed’ By doing this we have enabled PIN usage on all our workspaces but we can remove the need for PINS for certain workspaces if we would like We explain how to do this in our video ‘Setting up key business rules’ We can also define the length of the pin here when the pin is automatically generated This is all we need to do in the system profile There is some additional set up for users, so we click on ‘Users’ Here we have users that were either created manually or imported into the system If we go into a user and open it for editing We can see basic information name, email and the PIN Just allocating a PIN to a user does not necessarily make it possible for them to use it this means it is also possible to block people from using PINS To make sure a user can use PINS, tick ‘RFID/PIN Authorised’ If we delete this PIN and have this user not have a PIN we can ask the system to generate a new PIN by clicking here As you can see it generates a unique PIN for this user So, if a new PIN is needed for any reason for a user this is easy to do We can also generate a reminder which will show them their new PIN Thank you for watching
