Door Tablet Booker for end users In this video We will show the key features of Door Tablet Booker – our hot-desk system We will look at user settings We will explain how to make bookings for ourselves and other users In addition, we will show how to view bookings in a variety of ways Including how to navigate the system to look at different locations Door Tablet Booker is a hot desk subsystem embedded inside the Door Tablet infrastructure that is accessed from a web browser When a user encounters Door Tablet Booker for the first time they will see the information page This gives them a quick introduction on how to use the system and some basic concepts It can of course run in multiple languages It is up to the admins to fill this page and make it available to users using the web UI We can examine our user profile by clicking here Here we can see the areas we are limited to book in which teams we belong to and various rules that govern what we can do By default, the user is in English, but this can be changed when users are created We currently support 20 languages built in If we change the language now that language will prevail for this session If we want to keep this language, then we need to click here to save it Let’s go back to English Now we will click this first icon to take us to the display that is the most common place to perform bookings This is the time bar interface To navigate here we can use the calendar This complies with the rules the system administrator has implemented For instance, this calendar is showing us that we can’t book on Saturdays and Sundays As we move forward in the calendar we will see that we are not able to book dates this far in the future That is due to the administrator setting that you can only book 6 weeks ahead All of these settings depend on the business rules of your organisation We can also navigate by clicking the forward and backwards arrow surrounding the calendar To the right of the calendar, we can see a path The path shows where we are currently looking and where else we can make bookings If we click on the floor it shows the other floors that we can book on and we can see what is going on in these floors If we work for a global organisation and we also have permission to making bookings in another country we can clear this path and switch to another country Again, this shows exactly where I can make bookings Each area is governed by a time zone so we can see what is happening in that location at that time zone not in the time zone of the place where we currently are In Booker, the admins define what kind of bookings can be made whether bookings are made for half days and full days or per hour or even per half an hour In this case we can book for the morning, afternoon, or whole day Here we can see the remaining availability for this area This may not be the same as all the spaces that we can see that are available This is because administrators can set a maximum occupancy for bookings Another thing we can see here are avatars Users can add their own avatars which helps people understand who has made the booking If we click on this icon, we can see a floor plan This shows where people are sitting in a visual representation of the floor As this system is set up for half days and whole days we can easily switch between a morning and afternoon view Of course, if someone has booked for the whole day, they will appear in both If we hover over a workspace these bars show the availability for the two halves of the day Let’s click on this icon to see the calendar view This gives us multiple ways to see all our own bookings We can look at them on a monthly, weekly, or daily basis or just get a list of all of our bookings If we click on the magnifying glass, we can jump to the area where this is booked We can also see some of the desks are marked in this faded red colour This is because bookings for these desks are disabled This could be for a variety of reasons including the desk being broken Users can also have dedicated desks here Clark Kent has a dedicated desk, so we would not be able to book this The system won’t allow you to double book so if we try to book a desk now it tells us we already have a booking at this time We can try and book for another time for this day but whether we can do this depends on if the admins allow us to have multiple bookings for the day or not If we go a few days into the future, where we don’t have any bookings yet we can click on a space and make a booking for the morning When we book anything on Booker, we get an email notification to tell us that we have a booking, and we can push this into our personal calendar What other things we can do here depend on our authorisation If we are authorised to do so we can book for others We click on the workspace we want to book and again it tells us we already have a booking Instead, we click on this button and search for somebody else and click ‘Check’ We may be limited to only book for members of our team The system confirms that we can book for them and again we select the duration and click ‘Reserve’ If we want to see which users are members of certain teams we can tick the box for the team and an icon will show next to the users in that team If we want to cancel our booking, we click on it and then click on the bin icon Of course, Booker integrates with all Door Tablet hardware including the new Door Tablet EPS, which is our ePaper system Thank you for watching
