Merging and splitting meeting rooms In this video We will show how to merge and split meeting rooms using our concept of slave and master rooms We will show how this looks visually and how to switch between the rooms We will then look at how this is easily set up in the Door Tablet web UI And explain the function that stops schedule conflicts for the master and slave rooms If you have multiple meeting rooms that can be combined into a single large room for functions or events you may be interested in the feature that we're showing here When the rooms are split they each have their own schedules and displays And when the partition is down and they merge into one room all the displays will change to the display of a ‘master’ room They will all show the master schedule and any design or branding that has been set up for the master First, let’s see how this looks This display we are looking at is one of our slave rooms which is currently showing it’s own agenda based on its own calendar We can see there are no bookings for this room today as the master room is booked for an event and Door Tablet stops conflicts within the slaves and master rooms We will explain how this works later in the video So now we are having our event and we want to combine our rooms When the room is physically set up and the room partitions have been removed an admin will come to each slave display and tap on this icon They will input a key code that they have agreed on when this was set up And there we go, the display instantly changes to that of the master We can now see the calendar for the master room However, we can’t make any changes to the calendar from these displays So, we lose the functionality to extend, release or terminate any meetings from the tablets This must be done from the scheduling platform When we are finished with the event and the partitions are back up the admin will tap on the button again and type in the keycode The rooms will be split again and the individual room will display as it was before the change Let’s look at what needs to be done to set this up First log in to the admin web UI Then open the System Profile While the rooms will merge to a master room we must ensure that there are no bookings on the slave rooms as these will no longer be available as individual spaces So here is where we set up the behaviour of the back end processor that will sort out the bookings in the slave rooms if there are conflicts In the tab where we see ‘Displays’ we scroll down to ‘Masters and Slaves’ We need to tick here to enable the processor And tell it to look as far as we would like in the future Then configure this process to run on a daily basis at a particular start time We pick any start time that we like and tell it how often to repeat itself We could run this once at night if we want but we recommend running this throughout the day so if a booking is made during the day that is a conflict this would be handled by the system Please be aware for this to work the system must be using Microsoft 365 We must also go to the ‘Basics’ tab and untick ‘Include tentative meetings’ so that these will be excluded We do this as if there are any conflicting appointments where the slave rooms are booked at the same time as the master Door tablet will set the slave room bookings to be tentative It will not remove the bookings from the calendar So we untick this box to ensure that tentative meetings will not show on the end points so they won’t affect the working of the display When Door Tablet makes meetings tentative it will notify the hosts of those meetings that the status of their appointments have changed and explain why It will then ask them to reschedule their meeting or choose a different room However, if you still want tentative meetings to show there is another option for avoiding conflicts that uses ‘cancel’ words When there are conflicts between the slave and the master the system will add the first ‘cancel’ word to the subject of the meeting This will make the meeting invisible to end points which is the same result as the first method To do this another small change is made in the System Profile We explain exactly how to do this in our product manual We need to tell Door Tablet which is the master calendar and which are the slaves So, lets open a room that we want to be a slave If we scroll down to ‘Display Switching’ this is where we specify who the master room is for this slave we can see a master room has already been specified To pick up a room we click here, and we get a list of the rooms And here we set the passcode that is required to enact the transition To stop the conflicts occurring we also need to make settings changes from the master room So here we will go into 'Desert', which is our master room And go to ‘Display Switching’ And select the slave rooms for this master When this is saved the process described earlier makes sure there are no conflicts between the schedules of the master room and the slave rooms Thank you for watching
