Introduction

A room scheduling solution that had to fit the way people already worked

Nakupuna Companies is a Native Hawaiian organization-owned family of companies delivering mission and business operations support, IT, facilities and infrastructure, logistics, and environmental services to U.S. government clients.

When Nakupuna opened its flagship Arlington, Virginia office - its largest location - it needed a room scheduling solution that could operate reliably within its Microsoft 365 Government environment while fitting naturally into the way employees already worked.

Having encountered limitations with previous workspace management platforms, Nakupuna’s priorities were clear: seamless integration with Microsoft 365 Government, support for its existing IAdea LED room displays, and a straightforward booking experience that wouldn’t require users to change the way they worked.

Door Tablet met those core requirements while also giving Nakupuna the flexibility to create a highly customised experience that reflected the company’s distinctive Hawaiian identity.

The Challenge

Finding a Solution That Worked With Microsoft 365 Government

As an early adopter of Microsoft 365 Government, Nakupuna found that many third-party workplace technologies were not designed to operate within its environment.

Its original room scheduling system used battery-powered e-ink displays and worked well until Nakupuna moved to the Government Cloud, at which point its Microsoft integration stopped functioning.

A second scheduling platform offered features including floor plans, hot desking and LED room displays, but required custom work to function within Nakupuna’s Microsoft environment. It also encouraged employees to book through a separate web application rather than the familiar Microsoft tools they already used.

The experience helped Nakupuna identify what really mattered: reliable Government cloud connectivity, room status displays and a booking experience built around Microsoft.

Door Tablet could connect to Nakupuna’s Microsoft room resources while addressing the specific considerations of its Microsoft 365 Government environment.

From the first conversation, Nakupuna was also able to discuss detailed technical requirements directly with the Door Tablet team and get clear answers about how the platform could be configured for its environment.

Room Booking Without Changing User Behaviour

With Door Tablet, Microsoft room calendars remain at the centre of Nakupuna’s scheduling environment.

Employees continue booking through Outlook or Teams as usual, with bookings reflected on the Door Tablet displays. They can also make an immediate walk-up booking directly from an available display.

Supporting Nakupuna’s Existing IAdea Displays

Nakupuna had already invested in IAdea room displays with integrated LED status lighting, making hardware compatibility another important requirement.

Door Tablet allowed Nakupuna to retain those displays while using their LEDs to make room availability highly visible throughout the office.

There’s a hallway that when you look down, you see five LED bars on each side. There’s five tablets. It’s cool to look down that hallway and see a red one, a green one, and another green one, which was actually a big part of the vision.

Implementation

Installed alongside the wider conference room fit-out

Door Tablet was deployed on IAdea hardware across conference rooms, huddle rooms and micro offices at Nakupuna’s Arlington location. The Door Tablet Server connects to Nakupuna’s Microsoft 365 Government environment.

AV integrators completed the mounting work as part of the wider conference room installations. Narrow trim around the conference room glass required a custom mounting approach to achieve a clean result.

Nakupuna’s internal team then handled the Door Tablet software setup and attached the displays to the installed mounts.

While the range of configuration options meant there was an initial learning curve, the Nakupuna team found the setup straightforward once they became familiar with the system.

Support

Responsive Support

Nakupuna worked directly with Door Tablet throughout the initial configuration, with technical support available during deployment and beyond.

When its IAdea displays experienced an issue retaining their server connection following a reboot, Door Tablet introduced server-side logic and a re-check-in mechanism to improve the behaviour.

When Nakupuna wanted stronger red and green LED status colours, Door Tablet also added an administrator setting to make the preferred LED behaviour easy to configure.

I’d open a ticket or reach out to support, and within the day, I’d say within an hour, usually I get a response. You guys are just so extremely responsive.

The Results

Fewer Room-Booking Questions

One of the clearest signs of successful adoption has been the reduction in questions and support tickets reaching Nakupuna’s IT team. While Nakupuna didn’t have detailed pre-deployment utilisation metrics, the team has seen a clear reduction in users needing help with room scheduling.

Employees haven’t needed to learn a new platform or change their existing workflow. They continue scheduling through Outlook or Teams, with the option to use the simple Book Now and Book Later functions at the room.

By keeping room booking simple, employees can focus on their work rather than the process of finding and reserving a space.

We just don’t get questions about it anymore.

A System That Became Hands-Off

Following the initial deployment and configuration, Door Tablet has required very little day-to-day administration.

Once we got everything dialed in just how we wanted it, it’s been hands off.

Because Microsoft room calendars remain central to the booking environment, employees can also continue booking through Outlook and Teams if an individual display temporarily requires attention.

Looking Ahead

Ready for Future Workplace Needs

Not every feature Nakupuna originally considered has proved necessary. As employees became familiar with the new office, formal hot desking and advanced wayfinding became less important than initially anticipated.

But knowing those capabilities are available remains valuable. Features including wayfinding, desk booking, occupancy sensing and user identification give Nakupuna options to expand the system as its workplace requirements evolve.

I think one of my favorite things about Door Tablet is knowing the availability of functionality that I’ll never even probably touch, but knowing that if I want to one day, if I want to set up occupancy sensors, if I want to have it auto change and auto detect when someone walks in the room, that’s there.
