Door Tablet NOW - User guide

See what is happening in a room and take the next step from your own phone. Door Tablet NOW opens in your mobile browser after you scan the room’s QR code. You do not need to install a separate mobile app.

Open the room on your phone

    1. Find the QR code on the Door Tablet room display or Door Tablet EPS ePaper display.
    2. Open your phone’s camera or QR scanner and scan it.
    3. Tap the link and check the room name and location.
Your phone must be able to reach your organisation’s Door Tablet server. Depending on the installation, this may require workplace Wi-Fi or another approved connection. A QR code configured to open another service will take you to that service instead.

Understand the room screen

The top of the page identifies the room and its location. The status shows whether the room is available, busy or approaching its next meeting. The schedule lists the day’s bookings; recent past meetings may also remain visible for context. Room information can include capacity, room type, a description and facility icons such as Wi-Fi, a projector, a whiteboard or video conferencing.

The page refreshes its schedule automatically while open. Tap the room status to request a refresh. Your phone and the physical display can update at different times, particularly when the display uses ePaper. Private meeting details may be hidden.

Buttons appear according to the room’s status, your identity and the organisation’s rules. A missing button usually means that the action is not currently available; it does not mean you should create another booking.

Identify yourself

You may browse room information before identifying yourself, depending on your organisation’s access settings. When an action needs identification, NOW opens the identity panel. Your organisation chooses the identification method.

If you are asked for a PIN

    1. Enter your Door Tablet PIN and choose Check my PIN.
    2. Look for the verification email sent to the address associated with your user record.
    3. Enter the emailed verification code in NOW and confirm it.
The PIN identifies your existing record; the email code completes verification. If you have forgotten your PIN, select Forgot PIN?, enter your registered email address and follow the instructions. Contact your administrator if the email address is wrong, delivery fails or your account is not authorised.

If you are asked for your details

    1. Enter your full name and email address. Phone number is optional.
    2. Choose Email verification code.
    3. Open the email and enter its code in NOW.
Use an email address you can access on your phone. Your organisation may restrict which new users can register. Verifying your address does not give you administrator access or permission to control everyone’s meetings.

Remembered identity

NOW can remember your verified identity in the browser to save time on later visits. Use the identity icon near the room name to review it. To remove it, choose Forget saved identity. Do this on a shared phone or when you no longer want your details remembered.

A different browser, private browsing or cleared website data can require verification again. Your administrator can also disable NOW access. If the application asks you to verify again, complete that process rather than reusing an old code. Verification codes expire; request a new one if necessary.

Reserve a room now

    1. Open an available room and choose Reserve.
    2. Verify your identity if prompted.
    3. Choose one of the available durations.
    4. Enter or adjust the number of people.
    5. Review the proposed end time and confirm the reservation.
    6. Wait for the result and check that the schedule shows your meeting.
Duration choices depend on the room’s rules and how much time remains before the next booking. You may see fewer options than in another room. Capacity can also limit the participant count. A room that becomes occupied while you are completing the form may no longer be bookable.

The current interface uses one Reserve button; duration choices are inside its panel. NOW’s main reservation journey books the room for immediate use. Use your organisation’s normal booking tools for future or recurring meetings unless another supported journey is provided.

If the result cannot be confirmed, refresh the schedule before trying again. The calendar may have saved the meeting even if the phone did not receive the final response.

Check in to a scheduled meeting

Where your organisation requires check-in, an eligible meeting can show Check in near its start time. Identify yourself, review the meeting and enter a meeting or room code if requested. Confirm the check-in and wait for success. The meeting host may receive a notification.

Your own ad-hoc reservation normally does not require you to check in again. A meeting organised in advance can still require check-in under your organisation’s policy. Check-in rights do not automatically give you permission to end someone else’s meeting.

Extend a meeting

If Extend is offered, open it, choose an available extension and confirm. NOW checks that the additional time fits before the next booking and that you are authorised. The current rules permit one extension; further extension may therefore disappear even when the room appears free.

Check the updated end time in the schedule. Do not assume the physical EPS image will refresh immediately.

Finish early and release the room

When Terminate is offered, use it to finish the active meeting and make the remaining time available to others. Review the confirmation and proceed only when the room is ready to be released. Permission depends on ownership, check-in and room policy.

If Terminate disappears after an extension, refresh the page once. This behaviour has been observed during development. If the control remains unavailable, contact your workplace administrator; do not create a duplicate meeting.

Teams and meeting links

For supported meetings, NOW can offer a Microsoft Teams link. Availability depends on the meeting, calendar integration and your access. An ordinary room reservation does not necessarily create an online meeting.

Choose your language

Open Language in the room information area and select your preferred language. NOW remembers a supported choice in that browser. Your organisation can provide a default language and adapt terminology, so labels may differ slightly between workplaces.

Using NOW with ePaper and Door Tablet EPS

A Door Tablet EPS screen can show room information and a QR code without offering touch controls. Scan the code to move the interaction to your phone: read the current schedule, identify yourself and use the permitted actions. You do not need to touch the ePaper panel or pair your phone with it.

The phone talks to the workplace server. The ePaper panel receives changes through its normal update process. If the image still shows an earlier state, check the phone’s refreshed schedule and allow time for the display update.

Common questions
The QR code has expired.

Scan the QR currently shown on the display. Reloading an old link does not make an expired QR new.
I did not receive a verification email.
Check the address and junk folder. Allow time for delivery. If a code has expired, start again and request a new one. Contact your administrator if delivery continues to fail.
Reserve or another action is missing.
The room may be busy, a meeting may be too close, or your account or room policy may not allow the action. Refresh once and check the room status.
I see Evaluation software or Licence expired.
Contact your administrator. These notices concern the installation’s licensing state, not your personal identity verification.
Can I use it offline?
No. Viewing current data and confirming actions require a connection to the server.
