Configuring Door Tablet Meeting Center In this video, we will... Demonstrate how to install the Door Tablet server and select Door Tablet Meeting Center as our technology Show the process of creating sites and base rooms Explain how to configure room settings and enable future bookings Walk through the steps of creating user accounts and making room reservations First log in to your account on the Door Tablet website Then navigate to the 'Downloads' section Download the full Door Tablet server software You will need to accept the standard terms and conditions Next, we are launching the downloaded installation file choosing to install the software on a folder of our choice In this example we use volume X and a folder called Door Tablet Continue answering in the positive to complete the installation Now we will launch the software as a console application to observe the initial configuration process The first time we run the software we will get some pop ups, allow the access When the screen settles down, we will restart the server by typing the letter Q If restarting stalls, you can also click the X to close the server and reopen it We are now ready to open the web UI We launch the web UI on the browser with this address and log into the system Use the standard initial username dtwebadmin and the password is, password Next, we are going to go to the ‘System Profile’ and we will select "Meeting Center" as the technology Then add email addresses for the admin and sender emails Tick ‘Use this server to send emails’ Submit the form at the bottom Now we can see Door Tablet says it is working using Meeting Center The first thing we need to do in Meeting Center is define sites and base rooms After we do this, it is the same process as all other Door Tablet implementations Go to ‘Sites’ then click this button to add a Site a Site is a global location Let’s call ours London and submit it We are then going to create multiple base rooms within the London site In this case we will use colours as the names of our rooms Set the site location as London Add a description and capacity We are going to do this for 3 more rooms Now we will stop the backend processes and then restart them to make the rooms available in the Meeting Center environment Click ‘Stop’ this could take a moment Once this is complete and we see the report on what is happening we can click ‘Start’ Next, we will go to ‘Spaces’ and click on ‘Synchronise’ Door Tablet will find and insert our rooms We are now ready to proceed as normal with activating and configuring rooms Open a room and tick ‘Active’ to activate the room Tick ‘Pro hardware license’ if using pro hardware Submit the record To speed up the process of configuration we can clone the settings from the Blue room to the other rooms Select all the rooms and click on the settings cloner this is button at the bottom of the screen Select Blue as the source space Tick the areas you want to clone, in this case we will do active status and the reservation rules and then click clone settings Now they are all active The red cross means they are not licensed but this is not a problem for testing the system If you already have your licenses follow the video ‘Licensing Door Tablet’ Without licenses the displays will go into Evaluation mode after 1 hour and you will just need to refresh them to remove the message If you have not purchased licenses, we can also provide trial licenses if you want to try the system without the evaluation messages Next we will go to the ‘System Profile’ and add a keycode for this server to secure it Go to the 'Security' tab Add your key code and then submit the page Now we will launch the browser application you can do this on the spaces list or from the Dashboard Now we need to create a server connection Add the server address and input the keycode you just created and click try connection Now save this connection Just to note this process is the same if you are using Meeting Center on the browser or on the tablets, tap on the server connection to open it Lets open the blue room We can see this room is available and no meetings are scheduled yet We can reserve the room from here Let’s change the interface to be Buttonless This interface offers a cleaner screen Tap on the time or the padlock in the bottom left to exit the room you will need to input the key code and then tap on the time or padlock again Go to ‘Local Settings’ Tick ‘Buttonless’ and then ‘Done’ Now, resume the last room It now opens in buttonless mode so with this display option you have to tap the crosshair in the bottom corner to see the buttons We will reserve the room, and can see how it looks now it is busy Now we have reserved the room other functions have come up so we can extend or terminate the booking If we tap 'Nearby' we can see our other rooms and making bookings for these rooms In this system we haven’t set this up yet so this is what we will do now Let’s go back to the Web UI Go to the 'System Profile' We will make some other changes here too that we recommend for the system In the 'Meeting Processing' tab, we want to go to prevent spills and set this to less than 10 and 35 minutes Let’s tick ‘Default Participant 1’ so it is not 0 by default And tick ‘Allow Distant Reservations’ There are many other settings you can change but this is sufficient for now Submit the record Go to 'Spaces' Open the Blue room Now when we go to reservations we can see the boxes related to distant reservations You can allow or block these types of reservations In this case we will tick allow distant reservations and submit the record Now let’s open the Blue room again on the app If you make configuration changes to a room you need to refresh the app so it will read the new rules Now click on 'Nearby' we see a new button that allows us to reserve a room It shows us where we can book and it shows there is no time limit for these rooms as there are no other bookings So, let’s book the gold room Now, let’s set it so that we can do future reservations Back in the system profile go to the Meeting Processing and Futures tab Scroll down to futures and tick ‘Allow Future Calendars’ this allows you to view future calendars Select how far in the future you want to be able to see We then need to tick ‘Allow Future Bookings’ to book in the future and submit the record Back on the app we refresh And then go to 'Nearby' Now we see a button ‘Change Date’ We can select a date and book a different room the future To use future bookings users will need to identify themselves this can be done either with RFID cards or PIN Codes Lets go and create a user Under ‘System’ find ‘Users’ And click ‘+user’ You can also import users into the system We will add a name and an email And then allocate a pin Door Tablet will create a unique PIN for the user We are now making a note of this so we can use it shortly Now we need to support PIN usage for reservations by ticking ‘RFID/PIN authorised’ and submit the form We also need to make a change in the System Profile to allow pins On the Security tab go to PIN usage and tick ‘use PINs where needed’ This box decides how long the PINs are Now let’s go back to the app When we book a room in the future we will now be challenged for our PIN Once we type our PIN it identifies us and we can book the room And that’s done we’ve now made a booking in a room different from the one we’re looking at for a future time, using Meeting Center Thank you for watching
