Setting up key business rules In this video We will discuss key business rules your company may have for different spaces, such as different check in rules and the ability to book workspaces from the tablet As we discuss these, we will show how to set up these business rules in the admin web UI Every organisation will have different workspaces that need to be configured according to their business rules For example, a company may not want their large boardroom with lots of equipment to be able to be booked directly from the tablet Whereas, they may have smaller rooms specifically designed for walk-in bookings where people are welcome to come and book the room from the tablet when they need a room right at that moment To set up business rules we first go to the admin Web UI There may be business rules that are applicable to all spaces for example, a company may want all workspaces to require check-in so workspaces don’t get wasted when nobody occupies them To set up these general business rules we go to the system profile If we go to the 'Security' tab we can set a number of rules including telling Door Tablet if RFID cards are being used by end-users if we want to use PIN codes instead and how many digits we want these PINs to be If we click on 'Meeting Processing' there are number of different features that can be modified here For example, the time slots used when reserving from a tablet or if email reminders should be sent to the person who reserved the workspace General check-in rules are also set here and if we scroll down to ‘Futures’ we can set whether Future Bookings are allowed from tablets There are many other features that are set up in the system profile but these are the main ones that relate to common business rules As mentioned before, setting these up in the system profile makes these settings apply to all workspaces However, some settings must be set up for each workspace individually For example, setting all meetings in a workspace to be private In addition, we may like to set different business rules for different spaces To do this we click on 'Spaces' and then select the workspace we would like to edit Now go to 'Reservations' The first box here can be ticked if we would like all meetings in this workspace to be shown as private Private meetings do not show the title of the meeting or the meeting host so this could be used for certain workspaces where privacy is constantly required Next, we can decide if this workspace can be booked from the tablet If someone books this workspace from the tablet this decides if we want them to type the subject of the meeting The next two options dictate if distant reservations are allowed from this room… or to this room A distant reservation is the ability to book a workspace that is different to the one you are standing by If the workspace can be booked from the tablet this box can be checked if you would like it to be required that a name is given when booking the room The next box selects the duration the workspace can be booked for on the tablet An example here is you could have your smaller rooms booked for an hour max whereas the bigger ones are able to be booked for 4 hours The next option relates to the reservation slots that are used when booking from a tablet Here, you can decide if this workspace should have automatic time slots or if you would like shorter or longer time slots If you would like to decide who can reserve this workspace you can limit this to a type of user This feature applies to systems where users are identified by either RFID cards or PIN codes For example, in an educational capacity there may be rooms that should only be booked by teachers and others only booked by students Now onto the 'Rules' section Here you can decide if this workspace requires check-in and if you want this check-in to be secure If this is secure, a check-in code will be given which will be used to extend or cancel the meeting If it is not checked, no check-in code will be provided Here you also decide if you want the extend and release buttons to show on the display This box sets the grace period before the meeting will be classed as a no-show and will be terminated Decide here how long you want the meetings to be able to be extended for from the tablet Tick here if this workspace can be released if a meeting ends early Door Tablet can email the meeting host a check-in URL which can be set up for all workspaces in the system profile tick this checkbox to disable it for this individual workspace Therefore, this forces users to check in to the meeting on the tablet If Future Reservations are turned on in the system profile tick this box to turn it off for this workspace Now to the 'RFID and ID' section You can select if you want RFID cards to be used for this workspace for walk-in reservations, checking in and out and for assistance requests If card registration has been set up for your workspaces in the system profile you can tick this box to prevent registration for this workspace If you require PIN input generally and this has been set up in the system profile you can tick this box to disable the need for the PIN on this workspace specifically Under 'URL Invocation' you can set up business rules that are used when the workspace display is invoked using the URL Tick this box to make this workspace use a special display that is used for inside rooms that focuses on the end of meetings Or check this box to make the display interactive If you have set up business rules for a workspace that you would like to use for other workspaces you can generalise these settings to a group of workspaces we will show you how to do this in another video In another video we will also look at
